Notes from meeting 82 held 17 February 2021
 
Meeting opened at 7pm with the President welcoming Guests Alan Nelson, Lisa and Vanessa Rowley, Jodie Holdbeck and Lila
Apologies were received from Jeanette  Hodgson, Grant Sibley and Terry Brown.
Club officer's reports were shared
including the following from our President.
 
Board Meeting 10/02/2021 Highlights.
  1. Merilyn is continuing to organise the purchase of tear drop banners to use at functions and events.
  2. Dini is closer to organising a visit with a Toast masters Club.
  3. Road Marshall training might finally be able to happen in conjunction with training for the V&C this year. More info soon.
  4. Website is available for viewing and use as Marion and Ian continue to work on completion.
  5. Ongoing discussion about the review and update of the clubs asset list continues.
  6. Waste bins for our Lonsdale sheds were finally delivered from the council so our sheds should be cleaner and tidier now.
  7. Joy has purchased insect bombs to be used in the sheds soon because of the increasing amount of vermin we are finding.
  8. As we move towards cooler weather Joy is reviving the Beanies Community Service and Fundraising project. She is currently looking for venues to have sales so any idea to Joy please.
President Notes:
Focus: Strategic Plan. This document was first presented back in October 2020 and was created in response to the DG’s request that every club have a simple strategic plan to guide their future planning and development.
The board reviewed the plan at last week’s meeting and no changes were made. It was emailed out with my president’s report to you and I hope you have had time to consider it and suggest any changes etc you would like to see. The strategic plan will be reviewed every 6 months at a club assembly for further consideration that it is meeting our needs.
Suggested additions from members at the general meeting  included dates of inception and review on the document and columns for projects undertaken and what constitutes a successful outcome.
 
  1. Australia Day Breakfast.
Feedback and financial summary has now been sent to the council so that we can receive the remaining 25% funding.
  1. RYLA April 2021
Planning continues and after attending the district meeting with Garry and Phil last Thursday we are trying to get our heads around what needs to be done. The RYLA dinner has been confirmed at the Glenelg Golf Club on Tuesday 27th April. Also our club will be doing supper for the group at Nunyara on Friday 23rd April.
  1. Bunnings BBQs
       Garry is still trying to fill spots for the next 2bbqs on Sunday 21st February and Saturday 6th march.         
        Please look carefully at his rosters tonight. We have volunteers from other community groups but it is good if can fill most.
  1. Vintage & Classic Breakfast Sunday April 18th.
       Please make sure this is in your diary and keep free. Gary has started planning with Trevor Sharp and because of  Covid   regulations there will be some different rules and and a different set up of our area.
  1. Youth Participation Discussion
Repeat of last meetings comments:
(Some of you followed and joined in an email discussion in recent days about future planning in our club to increase and expand our connections with community groups, sporting clubs, church groups, Sea Scouts, Surf Life Saving Clubs, Self Defence Clubs and schools so that we are reaching a wider group of young people who can then access Rotary Youth programs. Schools are not always the easiest places to source these student from.
 This discussion about a youth network began when we received information about the very successful YMCA Youth Parliaments which, while not a rotary program, is an excellent opportunity for young people to be involved in civic and citizenship programs.
Part of this discussion is the need to improve our selection processes in our club for young people, so that it is a fair and transparent process. A selection process needs to be clear and planned especially if we get multiple applications as we approach more groups in our community.
        It is important for club members to know the young people and students we are sponsoring as well as the young person knowing our club and feeling confident to come back and talk to us after the event concludes.
A data base of contacts has been suggested sorted by age groups so that we can target different programs to the appropriate age groups. This list could be started using the SA Community listings so that we can send a letter etc promoting the youth focussed activities. So this approach makes the importance of interview processes even more necessary. An improved interview and introduction process will also mean that club members know more about the young people we are sponsoring.
Marion has offered to help set up this contact list as a first step, in cooperation with the Youth Chair. )
All members contributions to this discussion are welcome and this will be a major focus of the next board meeting. It is very important everyone contributes as this is a major development for our club.)
Since this discussion, a meeting has been arranged with Katrine Hildyard to discuss her involvement in expanding our contact with youth groups. Marion and Phil will look into starting contact lists of possible groups with young people who could be involved.
We also need to urgently consider if we have any applicants for this year’s RYLA and RYPEN in April.
  1. Community Garden at Hall
        Discussions are continuing with other groups and the council as Dini will explain.
        7 Rotary Hall Kitchen Refurbishment.
        The committee continues the planning for this with the Grant application to be submitted by February 19th.
       8.Saturday March 13th  
           ….is a busy day for the club. Trees for Life workshop is happening at Flagstaff Hill in the afternoon and the Hackham West Movie night bbq  is on in the evening   Please check which of these you are attending.   
 
Rotary News:
  1. District Conference 16th/ 18th April
Some of us will attend this and Merilyn will explain about the club opportunity to sell raffle tickets. A great opportunity but will need some members to sell tickets
  1. Presidents Elect Training Seminar March 20/21st.
President nominee and president elect.
  1. District Assembly May 2.
Open to all Club members but especially relevant for board members and committee chairs.

Garry, Ian and Phil spoke about their weekend attending training at the Rotary Leadership Institute and highlighted items that they felt were important.
  1. The importance of selecting projects and then fundraising for that project, rather than just raising funds and then looking at projects to spend it on,
  2. Remember to promote Rotary when selecting projects and partners.
  3. Remember the viability and sustainability of projects when spending time and money on them
  4. Promote the use of 'My Rotary' website
  5. Select volunteers for their suitability to do a particular job - they are volunteers, not employees.
  6. look at Vocational Service and promote Industry Award schemes
  7. Use scatter meetings to spread ideas and learn from successful clubs.
  8. Sponsor seminars to increase the knowledge base of your community
  9. Use grants to spread your fundraising dollar further - attend grant application writing training
  10. Use social media to promote your club activities
  11. Gaining and keeping Members is an issue at all clubs, new members mean new ideas, new skills and helping hands, growing clubs is essential to survive.
  12. Networking is key, who you know is key to your effectiveness and the value of our club.

Our guest speaker, Lisa Rowley was introduced and entertained members and guests with her experiences at RYLA last year. Lisa recommended RYLA to young people between 18 and 25, and her presentation was particularly relevant as our club is actively involved in managing the event in April this year.
 
Meeting closed at 8:45pm with the next general meeting being held at the same location on March 3 2021.
